How does customs clearance work?

For Buyers in the UK

If you're based in the UK, Qogita takes care of all customs clearance on your behalf. You won’t need to manage any paperwork or deal directly with customs authorities.

Non-EU buyers - FCA (collecting from our Netherlands Warehouse)

Under FCA terms, Qogita files the Dutch export declaration and handles the export step. Your responsibilities begin at the point goods are handed to your carrier:

  • Collection:Your freight forwarder collects goods from our Netherlands warehouse at the agreed time.

  • Destination import clearance: You handle import duties and taxes in your own country. Requirements vary by destination, your freight forwarder will advise. 
  • Local compliance: Ensuring goods meet registration, labelling and other rules in your destination country.

  • Exit documentation: Where Qogita does not automatically receive exit confirmation from Dutch Customs, you must provide carrier documentation (such as CMR, AWB, or bill of lading) confirming goods have physically left the EU. Qogita will contact you if this is required.

⚠️  Qogita's responsibility ends at the point goods are handed to your nominated carrier. We handle the Dutch export declaration; all import steps and exit documentation cooperation are yours to manage.



Non-EU buyers - EXW (collecting from our Netherlands Warehouse)

When you collect from our Netherlands warehouse under EXW terms, you take responsibility for: 

  • Dutch export declaration: Filed by you or your freight forwarder with Dutch Customs (Douane). You will need an EORI number to do this.

  • Movement Reference Number (MRN): Once the export declaration is accepted, you receive an MRN. You are required to share this with Qogita so we can support VAT zero-rating on the transaction. 
  • Destination import clearance: You handle import duties and taxes in your own country. Requirements vary by destination, your freight forwarder will advise. 

⚠️ Qogita's responsibility ends at the warehouse door under EXW terms. We issue a commercial invoice and packing list; all export and import steps are yours to manage.


Non-EU buyers - via our global distribution partner 

If you buy through our global distribution partner, they handle; 

  • Export documentation from the Netherlands 
  • International freight 
  • Destination customs clearance and import duties 
  • Last-mile delivery

You will receive a landed cost (inclusive of duties and taxes) at the time of the purchase, so there are no surprise charges at delivery. 


EU buyers 

If you are located in the EU, all your orders will be shipped from within the EU. This means no customs clearance is required, allowing for a smooth and straightforward delivery process.
