Why didn’t I receive my full order? Understanding fulfillment

When you place an order on Qogita, it isn’t guaranteed that you’ll receive every item you've requested.

There are two main reasons:

  1. Stocklists aren’t fully live

Supplier stocklists cannot be updated 100% in real time. While most supplier stocklist integrations refresh their catalog data every 30 minutes, some suppliers still update their availability once per day.

  2. Suppliers sell across multiple channels

Many of our suppliers are selling to other buyers outside of Qogita at the same time. So even if a product looks available in our system, it may already have been sold elsewhere moments earlier.

⚠️ When stock updates lag behind real-time sales activity, there’s always a chance an item you paid for is no longer available.

What happens if an item is out of stock after I order?

In this situation, one of two things will happen:

  • Partial Fulfillment:

If the supplier can deliver some of the items in your order, they’ll do so. You’ll be refunded for anything they can’t supply.

  • Order Cancellation:

If none of the items are available, the supplier will cancel the order entirely and you’ll receive a full refund.

💡Either way, you’ll never be charged for stock that isn’t shipped.

How can I improve my fulfillment rate?

There are ways to increase your chances of receiving your full order:

  • Use instant payment methods

As sooner your payment is confirmed, the supplier will reserve the stock for you immediately.

The fastest payment method is credit or debit card while bank transfers can take up to 2 days.
